Congratulations to Rural City of Wangaratta on being shortlisted for RIMPA’s Pamela Hall Award

We are thrilled to announce the shortlisting of the Rural City of Wangaratta’s (RCoW) Information Management team for RIMPA’s Pamela Hall Award – Outstanding Group for an Innovation Concept/Project.

EncompaaS alongside our professional services partner INFORMOTION have had the pleasure of collaborating with RCoW on its groundbreaking journey to modernise and automate records and information management across Council using the EncompaaS platform.

Our Journey Together

Challenge: Post-COVID, RCoW found its information and record holdings to be in a state of chaos – held in a variety of repositories and outside the control of traditional records management practices and policies.

Solution: Following the rapid adoption of Microsoft Teams and SharePoint for collaboration and remote access to information, RCoW wanted a standardised approach to information management across M365 and business systems. EncompaaS was implemented to provide in-place records management across SharePoint, Teams, File Shares, Exchange and line of business applications.

Innovation: RCoW has embarked on an innovative journey leveraging AI and automation, all orchestrated within the EncompaaS platform, to future-proof Council’s management of information in a rapidly changing digital world.

Key Achievements:

  1. Bringing the vision to life: Continued progress towards a shared, standardised approach to information management, confirmed via exceptional internal audit results in 2024.
  2. Successfully delivering a complex project: The team demonstrated agility and an innovative mindset to successfully plan, manage and execute a project that involved multiple business systems both legacy and new.
  3. Embracing new tech: Leveraging AI and Machine Learning for automated identification, classification, and lifecycle management of information.

Project Highlights:

  • Retirement of legacy EDRMS and migration of records.
  • Establishment of an information architecture within SharePoint.
  • Integration and refresh of line-of-business systems.
  • Implementation of EncompaaS for in-place records management.
  • Use of Machine Learning models for automated content classification.
  • Use of policies for automated content management, retention, and disposal.
  • Exploration of analytics and dashboards for insights and efficiency.

“RCoW implemented the EncompaaS platform to facilitate in place records management across M365 and business systems, and our Information Management team has been working closely with INFORMOTION to overhaul and modernize our records and information management program.

The team has been executing a complex program that includes implementation and retirement of systems, data migration, system integration, discovery and analysis of content, SharePoint information architecture, Machine, Learning models and automation.
