Professional Services Consultancy Leverages EncompaaS

Overview

A global professional services firm is leveraging EncompaaS to optimise information governance by automating the discovery, ROT analysis, and management of sensitive data across active legacy repositories.

Challenge

A global professional services firm, which operates in over 150 countries, was seeking to identify and manage its vast stores of unstructured and sensitive data, such as Personally Identifiable Information (PII) and Protected Health Information (PHI), and over-retention risks to improve data security and compliance.

The organisation wanted to reduce its attack surface, effectively mitigate risk, and generate a foundation of high-quality data to power upstream processes.

Key Pain Points

Compliance Risks

The inability to accurately locate and manage sensitive data increased the risk of non-compliance with regulations.

Data Breach Exposure

Without effective data classification and management, sensitive data was vulnerable to unauthorised access and data breaches, which could result in significant consequences.

Operational Efficiencies

Manually trying to discover and manage sensitive data was time-consuming and resource-intensive, resulting in data silos, inconsistencies and reduced productivity.

Inaccurate Data for Decision Making

Scattered and unstructured sensitive data made it difficult to ensure data accuracy for business insights, impacting informed decision making.

Increased Storage Costs

Unmanaged and unclassified data was resulting in rising storage costs, particularly from storing redundant, obsolete or trivial (ROT) data.

Solution

The organisation implemented the EncompaaS platform to gain visibility and insights into its data across several repositories. The EncompaaS platform uses next-generation AI technologies to find, enrich, organise, and de-risk structured and unstructured data across the organisation and turn this into a normalised data quality foundation at the same time.

EncompaaS has enabled the organisation to gain newfound visibility and insights into over 500 million documents, by automating the discovery, classification and management of sensitive privacy data. This has driven measurable business impact, allowing the organisation to delete more than 10 million items of over-retained data (with more being identified and actioned every day), de-risk data that warrants retention, and achieve better compliance with local and global privacy regulations.

Through cross-matching the business types and privacy flags, active status, and owning department, the organisation can now continue to identify records kept beyond their obligations and remove them from all business systems using a single automated policy.
